Client Intake and Onboarding
Inquiries and instructions are taken on structured forms, checked for conflicts and due diligence, and turned into a matter without anyone re-entering the details. Client information, engagement terms, and rates sit on the matter from the first submission. Vincent can read what arrives and summarize it against the firm’s own criteria before the file reaches a fee earner.

Matter and Case Management
Each matter type is set up with the stages, tasks, approvals, participant roles, and deadlines that apply to that kind of work, so a firm could run both litigation and personal injury to different setups in the one governed system. Every matter carries a searchable chronology of its documents, correspondence, tasks, decisions, and dates. Vincent answers questions about the file, runs research against primary law, and puts its output back on the matter for the responsible lawyer to check and approve.

Document Management
Documents are generated from matter data using the firm’s templates, so drafts arrive populated rather than typed from scratch. Email and correspondence file to the matter, outbound documents can be sent for electronic signature, and Vincent drafts, reviews, and compares the documents held on the file, including extraction into tables for side-by-side review.

Workflow Automation
Workflows and business rules move a matter through its stages, applying the sequence of steps, checks, and approvals set for that matter type. Reminders and notifications fire on events in the matter rather than on someone remembering to chase. Steps that do not need a lawyer can be completed by Vincent, with approval recorded before the matter moves on.

Time and Billing
Time is recorded against the matter as the work happens, including work done with Vincent, then reviewed and submitted through the firm’s approval process. Rates, engagement terms, fees, and disbursements are tracked at matter level and passed to the firm’s finance system.

Reporting and Analytics
Dashboards are set by role and report on matter status, stage progress, team capacity and utilization, and matter profitability. Matters of the same type are recorded in the same structure, so figures can be compared across offices and practice groups without reconciliation.

Security and Governance
Permissions, ethical walls, and information barriers are set by role, client, and matter. Vincent works within the same permissions as the user in front of it, administrators control where it can be used, and its conversations are logged alongside the matter’s record of who accessed, produced, and approved what.

Integrations
Clio Operate connects to document and collaboration systems, finance and practice management systems, risk and compliance tools, and client and third-party portals. Microsoft 365 add-ins put matter information into Outlook and Word, and open APIs are available for firms connecting their own systems.

Practice Areas
Platform configuration is by matter type, so practices and jurisdictions that work differently can run on one system and still be reported on the same basis.
