Workflow Intelligence

Zebraworks Workflow Intelligence is a modular document workflow platform developed for law firms, delivering scanning, routing, mailroom digitization, backscanning, print management, and cost recovery through a suite of five integrated applications. The platform runs fully embedded in major MFD hardware and connects to core legal technology systems, including document management, financial management, and matter management platforms.

Key features and functions include:

ScanQ – Document Scanning and Routing
ScanQ provides scanning and document routing capabilities from MFDs, desktop scanners, and mobile devices. Captured documents are automatically processed using ABBYY OCR and can be routed to document management systems, network folders, email inboxes, or cloud destinations. A mobile application enables users to submit documents to ScanQ from any device.

MailQ – Digital Mailroom
MailQ converts physical mail into digital workflows, enabling delivery to attorneys and staff regardless of location. The module includes tracking, accountability features, delegate access, and shared queues to manage mail distribution without routing items through email or document management systems.

RecordsQ – Backscanning
RecordsQ supports the digitization of paper documents into a firm's records or document management system. The module includes customized workflows, collaboration tools, and quality control features designed for records department use.

PrintQ – Serverless Print Management
PrintQ provides serverless print management, including centralized queue and device management, secure print release, and support for printing from mobile devices. The module eliminates the need for Windows print servers.

CostQ – Embedded Cost Recovery
CostQ is an embedded cost recovery application that tracks costs associated with scanning, printing, and copying directly within MFDs. The module integrates with legal financial management systems to support client billing and internal expense tracking.

MFD and Device Compatibility
The suite runs fully embedded in Canon, HP, Konica Minolta, Xerox, and Ricoh MFDs. Applications can run on-premises or in a virtual private cloud, with optional integration via the Zebraworks cloud bridge for Outlook add-in and mobile app functionality.

Authentication and Access
The platform uses Auth0 to authenticate with identity providers including Active Directory, Azure AD, ADFS, LDAP, and SAML. All incoming traffic is validated via Auth0 and accepted only over HTTPS.
