Document Management SmartAdvocate supports automated document assembly using over 4,000 available merge codes. The system includes batch scanning with barcode functionality, external document sharing, and unlimited storage capacity.
eSignature The platform supports electronic signature functionality for retainers, contracts, and client authorizations. Documents can be sent directly to clients for signature from within the system, reducing reliance on paper-based processes.
Automated Workflows The platform provides configurable WorkPlans and Automated Procedures that trigger task reminders, client communications, and document generation based on case events, enabling standardized handling across case stages.
Client Intake A built-in Intake Wizard captures prospect information at the point of contact. The system supports lead tracking and assignment, intake scoring for lead qualification, follow-up monitoring, and intake performance reporting.
Case Review List Users can assemble a targeted list of cases for focused review and quick navigation. The list remains accessible while users move between individual case records, allowing rapid movement to any specific case within the set.
Medical Records and Chronology The platform supports the creation and tracking of medical record requests, sent either directly to the provider or routed through a medical records retrieval service. This feature supports organized tracking of request status within the case record.
Dashboards and Reporting Users can access pre-built dashboards tracking critical case deadlines, medical record requests, outstanding items, and staff activity, or build custom dashboards using any case data. Reports can be scheduled for automatic delivery.
Cloud and Server Deployment Both deployment options are fully browser-based, supporting secure remote access and simultaneous multi-user collaboration on cases. The cloud-hosted version (SmartAdvocate Cloud) is a managed, hosted environment; the server-based option allows the server and data to be located at a location of the firm's choosing.
