PerfectIt

Overview

Features and functions of PerfectIt include:

Consistency Checking
PerfectIt is designed to identify and correct inconsistencies that can affect the clarity and professionalism of a document. It checks for issues such as inconsistent hyphenation, variations in list punctuation, undefined or inconsistently used acronyms, and differences in spelling or capitalization. It also reviews the use of numbers in sentences to ensure alignment with preferred formatting conventions.

Document Quality Assurance
Beyond basic spelling and grammar checks, PerfectIt offers tools to catch errors that may otherwise go unnoticed. It flags problematic or outdated terminology, as well as formatting issues like unclosed quotation marks or brackets. The software can also detect remnants of the drafting process, such as leftover comments, extra spaces, and placeholder text.

Style Consistency Across Documents
When documents are created by multiple authors or edited over time, they can lose stylistic coherence. PerfectIt helps maintain a unified voice across all content by applying consistent style rules. This is especially valuable for organizations that rely on consistent branding and tone in client-facing or public communications. The software supports editorial uniformity, reducing the risk of mixed styles or disjointed language that might confuse readers.

Customization for Organizational Style
PerfectIt can be tailored to enforce an organization’s specific writing and formatting preferences. It can verify correct usage of client names, identify terminology issues relevant to particular industries, and enforce unique capitalization practices within departments. Additionally, users can program the software to recognize and fix common typographical errors and apply preferred language choices, streamlining the editing process and saving time.

Acronym Management
PerfectIt automatically identifies undefined acronyms, flags those used before being introduced, and alerts users to repeated definitions. It can also generate a table of acronyms used within the document, making it easier to review or include as an appendix. Users have the option to customize the software to recognize and retain commonly used acronyms and abbreviations relevant to their work.

Style Guide Enforcement
To support adherence to established editorial standards, PerfectIt includes built-in support for a wide range of style guides. It accommodates regional spelling differences, including UK, US, Canadian, and Australian English. The software features templates for widely used guides such as the European Union’s English Style Guide, the United Nations Editorial Manual, the World Health Organization Style Guide, the U.S. Government Publishing Office Style Manual, the Australian Government Style Manual, and the American Legal Style.

American Legal Style is an add-on for PerfectIt that enhances its proofreading capabilities with legal-specific editing tools. Designed for legal professionals, it builds on PerfectIt’s core consistency checks—such as hyphenation, capitalization, punctuation, and acronym usage—by incorporating over 125,000 legal-specific corrections. These include identification of common legal typos, errors in defined terms, and issues in formatting, spelling, and capitalization of citations according to The Bluebook. It also draws on other authoritative sources like Black’s Law Dictionary and The Redbook to enforce rules related to legal terms of art, Latin expressions, and plain language usage. The software is programmed to flag, but not automatically change, possible issues, preserving the writer’s control over each decision. American Legal Style offers legal writers a practical tool for ensuring documents are consistent, properly styled, and aligned with professional standards, reducing the burden of manual proofreading while supporting the nuances of legal writing.
