Overview

Classify360, developed by Congruity360, ingests data from integrated on-premises and cloud sources and moves it through identification, analysis, classification, review, remediation and automation stages. Firms can address their highest-risk or highest-cost data first and expand to broader governance in phases.

Key features and functions include:

Data Identification and Normalization
Data is identified and collected from integrated on-premises and cloud sources and normalized so all file types can be analyzed together. A dashboard provides an overview of data repositories across the organization.

Search and Indexing
An inverted index combined with a relational database supports Boolean searches and analysis of unclassified data. The index maps terms to items without storing document text as a field or creating copies of source data.

ROT and Risk Analysis
Data locations are mapped, and redundant, obsolete, trivial and stale files are identified. Risk indicators such as social security numbers, account numbers and credit card numbers are tagged.

Machine Learning Classification
Supervised machine learning classifies data according to firm policies and governing regulations. Pre-built models segment data by shared characteristics, and tailored analysis models can be layered to reflect specific business policies.

Analysis Trees
Analysis trees provide a visual representation of the classification process, allowing users to add or remove rules, view results and assign classes to files. Models are applied to newly created data on an ongoing basis.

Duplicates Analysis
Duplicates and their master copies are identified based on age or location across any source in a repository.

Law Firm Data Cleanup
Workflows support closed matter cleanup, reconciliation of document management system content, identification of dark data, and moving matter data during attorney transitions, across both internal firm data and client-matter information.

Data Management Hub
Data stewards across IT, legal and operations review and prioritize classified data through a central portal, deciding whether it is kept, moved or deleted. A filterable file list supports classification, delegation and data subject request fulfillment, and users see only the data their permissions allow.

Reporting and Audit Trails
Reports are available at the policy, departmental and individual custodian levels. Chain-of-custody records and audit reports document defensible deletion and remediation.

Remediation Actions
Approved actions include copying, injecting metadata, securing items with read-only access, tagging, encrypting cloud-stored files, routing items for further decision and deleting. Policies define which actions apply to each classification and in what order, and this is the only stage at which source data is modified.

Legal Hold Preservation
Data subject to litigation hold can be preserved so it is not moved or deleted.

Scheduled Automation
Processing, analysis and action cycles run on a schedule set by the organization, automatically accounting for new, modified or deleted items. A dashboard shows the status of each automated data set.
